Getting Started
 
  • What are the minimum hardware specifications to run TheraManager?
    Any machine running Windows  will run TheraManager. For a single PC you should have at least 256MB RAM and 2-3 GB free on your hard drive. Any new  machine will be more than adequate for a single user or simple peer-to-peer networked group. For a networked server, you should have at least 512MB RAM, 2-4 GB hard drive space free, and 100Mbps ethernet or wireless cards.
  • Does TheraManager run on Macintosh computers?
    Yes, but you will need to run PARALLELS, BOOTCAMP, VMWARE FUSION.
  • How does the Demo/Trial version of TheraManager differ from the real version In what way is the trial limited?
    The so-called trial version of TheraManager is the real, fully operational program. It comes with a Demo Database for solo or group practices, and also an empty database that you can start to use use for real. Upon receipt of payment, we will permanently register the Program for you.
  • OK, so I've downloaded TheraManager and checked out the Demo. How do I start using the program for real?
    At the Login Screen, first click on File | Database | Select | Main Data on the system menu. Then enter "admin" in both the Login Name Box and the Password Box. The Admin Screen will appear. The setup is self-guiding and obvious but there is a Setup Video available under Help on the system menu, which will guide you the rest of the way.
Multiple Installations
 
  • Can I use TheraManager from Home?
    You can install TheraManager at home for no extra charge. If you don?t have network connections at both locations, you can use the backup facility in the Program and port your database home on a CD or a key-ring USB Flash Drive, or you could use our new PDA module. With dial-up or broadband internet connections you can use one of many remote desktop options, but a special option available with TheraManager is that the database used is accessible over the internet.
  • Will it be safe to leave my computer on in the office connected to the internet?
    As safe as your IT professional can make it. Your database is encrypted and password protected.
Business Issues
 
  • I am a solo provider, but I have data on another provider and I don?t want to pay for an additional provider at this time. How would this be handled?
    The second provider can be archived as long as there are no booked appointments or outstanding balances in his name. You would only need to pay for the active providers.
  • Can I keep the other provider's information available to see, but not change or manipulate, and still use the solo provider information?
    Yes, you can keep all the patients' data and the patients will appear in your list. If you want to re-assign these patients to another provider, you would have two lists, which would count as another provider. As an interim measure, however, simply archive this data. We can also arrange temporary licenses for a bridging period.
  • Can we split a Group Practice and have each separate Practice continue to use TheraManager with the relevant records?
    Yes. We have software to do that in a seamless way.
  • Several of us want to purchase TheraManager? for our (non-networked) computers. Which price would apply for us? How would we each install the program?
    It sounds as though you have separate standalone installations, requiring separate imports and separate support ? hence individual provider pricing would apply. However if you share a common booking and accounting person, then the lower group price would apply. If all the providers are separate business entities, ie file their own tax returns, all the accounts are kept completely separate even although patients can be shared.
Functions
 
  • Does TheraManager? have an accounts receivable function, such that I can see who owes what, then send bills monthly based on that?
    Yes, but you don't need this to send bills. TheraManager has an internal tracking system. Use the Print Batch Screen to batch print your, bills, statements of service and HCFAs each with a single click.
  • Can I customize my printing format? What choices do I have over what can be printed on the statement
    ? You can choose the words for the letterhead, such as professional description, but at this time the format is fixed. On bills you have options to print either all line item records or just the outstanding balance. You can also include your regular charge as well as the actual charge. Bills are designed to be printed on 8.5 x 11" sheets with an optional tearoff like a credit card bill to be returned to you with the check. The bills are aged in 30-day increments. You can check all these out with demo databases.
  • Does the Program print charge slips or encounter forms for each patient?
    It prints the days list in various forms. We are always happy to add to the options if these don't meet your needs.
  • Is there a letters program with insertions from the patients record?
    Yes. In the Notes & Reports Screen you can write reports, insert patient data, a diagnosis, list of current meds, copy and paste from the medical Record etc. The letter will be printed with a letter head and stored under the patients name.
  • What about electronic filing?
    TheraManager ?prints? a single Report Emulation File or Print Image File that contains all the HCFAs in the batch. These can be picked up by software provided by a clearing house or dropped into a drop-box on a clearing house website.
  • When printing Bills, am I able to pre-screen them?
    Yes. You can can exclude selected patients from your batch print or print bills individually.
  • Can I put individual messages on each bill?
    Yes. There are standard messages corresponding to the age of the outstanding amount that will be added automatically to the bill. You can edit these messages. Additionally you can can messages into the body of the bill.
  • If I am in the middle of posting a large EOB at the payments Screen, can I put that on hold and temporarily work elsewhere in the program?
    Yes. When you return to the payments screen, the program will ask you if want to carry on where you left off.
  • Can I put posting and printing on hold for a visit if I don't have an authorization or diagnosis?
    Of course. The visit stays on the Appointments Calendar until you are ready to deal with it.You can even back-date the posting when you are ready to deal with it.
  • Can I make sure that records of visits are posted or HCFAs reimbursed and not lost in the mass of data?
    Absolutely Yes. You can see on a list all unposted appointments prior to a selectable date. You can also see all un-reimbursed insurance billed prior to a selected date and reprint them all with a single click.
  • Can I print a deposit slip or a list for checks and cash to go to the bank?
    Yes.
  • Can I print a day sheet?
    Yes.
  • How are backups done?
    Under File menu item, click backup to create a zipped file of the database that will be written to a drive letter, eg CD-RW. The letter is remembered for subsequent backups.There is also an automatic restore, with a protective backup.
Confidentiality
 
  • Is TheraManager HIPAA compliant?
    Yes.
    The database is encrypted.
    Network transmissions are encrypted.
    Passwords are used to enter the program.
    Rights can be assigned to each screen.
    Medical Records in the EMR section are locked to prevent accidental erasure.
    Backups are easy to make for permanent records and will be encrypted.
    Restore is available immediately from backup.
